10 Steps to Success - The Landlords Lettings Guide

Whether it is your first time or not, letting your property can be daunting. Here at Per Westray we pride ourselves on our ability to provide an outstanding service every time. Our step-by-step guide below will give you a brief description of how easy it is to rent your property through us in 10 steps.

1. MARKET APPRAISAL

It is as easy as just picking up the phone to make one simple call to us in order to book your free, no obligation, valuation today. Once this has been received, we will be able to give you a rough idea of the rental figure you can expect to achieve once we have we have researched your area. 

2. PHOTOS & ADVERT

Once we agree terms, the next step would be to get the property on the market. This would be done by taking photos and a floor plan before creating a listing for your property highlighting the best features of your property.

3. GOING LIVE

We will notify you once the advert is ready and about to go live. We will also confirm accessibility to the property. Once the advert is ready, we will give you a call to let you know that the advert is about to go live on all major portals and we will discuss which days and times you are available for access for the viewings.

4. VIEWINGS

Once a suitable applicant is identified, we will arrange with access with you in order to keep disruption to a minimum. To achieve this will ensure that we communicate your preferred days and times before confirming the booking. We will try to ensure we are flexible when it comes to accommodating your outlined times.

If the property is unoccupied, we can arrange to securely hold a set of keys for the purpose of access.



5. OFFERS

After the viewings are done and we have tenants interested in renting your property, we will gather all relevant information, such as their residential, employment statuses, proposed move in date and any additional requests and present these to you for your approval. Once everything has been agreed, we will start the referencing process.



6. REFERENCING

Referencing is a key part of the process for lettings as it gives additional peace of mind when renting your property. All our referencing is done through a third part company. During the referencing process, we will keep you updated on the status at all times. 


Once complete, we will contact you with the full details of the final reports for your approval.

 7. BEFORE MOVE IN

Once the tenants have been approved by yourself, we will then proceed with the confirmation of the final details including payment of the rent, as well as arranging any requests made by the tenant. If not already in our possession, we will also collect the keys.

Please let us know if you would like to be present to the singing of the contract. We can sign on your behalf if the permission is given.



8. MOVING IN

One the day of the move in, the tenant will sign all relevant paperwork before going to the property. As part of the moving in process, we create an inventory report of the property to ensure we have a record of the condition of the property. Our Inventory clerk will arrange to meet the tenants at the property to give them a tour and to take meter readings before handing over the keys. You can request a copy of the report for your records.


9. MID TENANCY

As part of our management services, we also offer a mid-term inspection. This inspection is undertaken by the inventory clerk, who provides a non-expert inspection identifying any obvious defects or potential issues. 

Please note that any such visit can extend only to apparent and obvious defects and will not amount in any way to a structural survey or inventory report of the property. We cannot accept liability for hidden or latent defects. If we are unable to gain access no liability will arise for any loss or defect that takes place at the property.

10. END OF TENANCY

We will contact both yourself and the tenant two months before the end of a fixed term in order to discuss a potential renewal of the tenancy. If you are both happy to renew for another 12 months, we will ask for your further instructions to proceed.

If the tenant is not looking to renew the tenancy, has given notice to vacate, or you have requested vacant passion of your property we will arrange a time to meet the tenant, after they have removed all of their belongings, for key return and a brief inspection of your property.

It is recommended that a professional check-out inspection is arranged with the company that conducted the Inventory inspection at the start of the tenancy. This will allow for easy comparison of the condition of the property and, if there are any damages to your property or its contents, claiming for these damages against the tenants deposit.
